How to deal with PDF file using batch conversion

We all love PDF documents mostly for their “share anywhere” capability. PDF documents are able to maintain their structure and font on virtually every PDF reader be it on android, windows or iPhone. However there are times when we need to use the content found in the PDF documents in some other document formats e.g. Thesis writing would require content be in word format, data analysts would prefer the content be in excel format and presentations are better done when the content is in Power Point format. Just to mention but a few cases. Well, I know what you are thinking, “But I will just use an online tool to convert between these formats”. Well yes, But what if you have several PDF files, maybe 10, maybe 20 or even more. No online utilities that can do this kind of multiple conversion, at least not that I know of. But worry not, there is a PDF tool named PDFelement 6 to make all your PDF work easy and efficient. And yes, as you might have guessed, it has a “Batch convert” feature that does exactly this.

Introducing PDFelement 6: An All in One PDF Utility

PDFelement 6 is an all in one PDF utility that comes bundled with what anyone may need to work with PDF documents. One of the extra features it also has is called “batch process”, which is the ability to work with multiple PDF files at a go to convert, extract data, add watermark or add numbering to files all at once. Basically, just about anything you would want to do to one document, you can do to multiple documents at a go, isn’t that cool! But wait, there is more, the process is as easy as “Select files, select destination format and convert” in the case of batch convert.

In this ‘How to’, I will be teaching you how to batch convert PDF files to a different file format. All you need is the files you want to convert and PDF element 6 installed on your computer. The files don’t have to be the same folder, but if they are, selecting them would be much easier.

Step 1. Open PDF element

After installing PDFelement 6, a shortcut will be created on the desktop and by double-clicking on it, you will be able to access PDFelement 6. Alternatively, you can launch PDFelement 6 from the window start menu. PDFelement 6 launches onto a window with several options, one of which is ‘Batch Process’

Step 2:  Select files to batch convert

Click on Batch process and a Window will open. Note the different batch options that are available on the left pane, namely: convert, Data extract, Bates numbering and watermark. Here we will be using the convert option to convert multiple PDF files to a different file format.

Click the “big plus sign” to select the files you want to convert. A window will open allowing you to select the files. Here you can select multiple files by using Ctrl + Left-click to select a file or Ctrl + A to select all files in a folder.

If some of your files are in a different folder, don’t worry, we will come to that. After selecting the files you need in this current folder, click open to add these files to the batch process queue.

If you need to add more files, or to add files that are in a different directory, click on the “Add files” action on the near top of the Batch process window (see below). This will open a window allowing you to select your files as explained earlier. Again you are select multiple files just like before.

Step 3:  Select file format to convert the file to

After you have selected all the files that you want to convert, use the “Output Format” pane on the right of the Batch process window to select the format you want to convert the PDF files to e.g. word(*.docx) in my case. The file formats available are word (.docx and .doc), excel (.xls and .xlsx), PowerPoint (.ppt and .pptx), EPUB (.epub) and BMP (.bmp). After selecting the format, you can also click the “gear” icon to the right of the format to further customize the conversion process. The defaults are pretty decent though and you may not need to adjust anything

 

Step 4:  Select the output folder

Here we have two options, the default is to store the output in the same folder as the original file and the second option is to “A folder on my computer” which would require you to click browse and select that folder.

After everything is set, click start to start the process. If you are using the trial version, you are limited to 5 pages per PDF file to a maximum of 2 pdf files and a watermark will be placed on every page. The time it takes will depend on the number of files you are converting, but in my case, 3 documents took just a few seconds with the results below.

In our modern office environments where almost all documents are in soft copy form, the ability or lack thereof, to manipulate these documents can either make or break a company’s efficiency.
