  • Make sure a meeting is absolutely necessary

Is this going to be one with slide shows?  People talking at a lectern?  Make sure you make the meeting as enjoyable as possible in planning out what kind of meeting it’s actually going to be.  Try to put yourself in your employees’ shoes: what would you like to see in the meeting?  What would you hate?  There’s going to be some things you can’t change, but make the meeting as interactive as possible for the best results.

Anticipate changes before they happen as much as you can and just go with the flow.  Stick to the plan as much as you can, but tweak it and change it as the meeting proceeds to make sure that you make the most of everyone’s time and the points that you are trying hard to get across to the world.

  • Be open and warm in the meeting

You need to be warm, engaging and welcoming in the meeting.  This will show those who are coming that you care about them and their lives, and that their presence is important.  Smile, share your plan with them, work in a circle so that everyone can see each other, and try to get people talking as much as you can so that everyone is involved.
